    Submission Form for Hosting a Theme Filk

    NOTICE: Theme Filk slots for OVFF in 2024 are now full.
    This page should be used only by those who are already scheduled to host a theme filk to fill out necessary information.

    Thank you for your interest in hosting a Theme filk for OVFF. Theme filks typically start in the late evening on Friday, Saturday mid evening (8 PM), and Saturday nights (around 11 PM). We ask that you host for one hour with the expectation that the filk will change over to an open filk after that hour is up. It may go on well into the night beyond that. However, you have no obligation to stay after that first hour if you don't want to, or need to leave for some other reason. Due to the number of theme filk submissions we have received in the last couple years, we cannot guarantee that we will be able to add your theme filk to the schedule. We will contact you to confirm that we have received your submission when we receive it. We will contact you again closer to the con to let you know whether or not we can include your theme filk on the schedule.

    This year, we are asking for preferences for time slots. We cannot guarantee that we will accommodate your choices, but we will do our best. Choices indicate START times. A range indicates that you might get any starting time within the designated range on the half hour. For instance, a range of 1 PM to 3PM means a possible start time of 1:00, 1:30, 2:00, 2:30, or 3:00 depending on how the rest of the schedule works out.

    This year, OVFF will be designating masks required and masks optional rooms. As a host, it is your choice as to which type of room you would prefer for your event. We will be allocating space based on the preferences of each of our hosts for workshops, theme filks, and special events (other than a music release).

Please note that any attendee may ALWAYS request that they not be recorded, regardless of the room designation.

    If you request it, we will TRY to send a reminder to you via text 5 to 10 minutes before your event starts. However, we cannot guarantee this text reminder- it is your responsibility to show up on time in the proper room to host your event whether or not you request a reminder.

    IMPORTANT:
    If you have asked someone to "just help out" even in an unofficial capacity, we NEED to know this so that we don't schedule that person in 2 places at once.

    Note that submitting this request does not guarantee that we will be able to place your theme filk on the schedule. We will respond to your request with a confirmation email once we know whether or not we are able to accept your request.
